Administrative Coordinator

Reports to the Manager of Interpreter Services or designee. Coordinates day to day Interpreter Services operations at Rhode Island Hospital. Supervisory responsibility for Interpreter Dispatchers and general oversight for Medical Interpreters and outside contractors.


Coordinates the efficient flow of work and scheduling for interpreter service activities. Ensures that interpreting staff are scheduled and provided to hospital departments requesting interpretation resources. Serves as primary contact for troubleshooting logistical problems in obtaining interpreter services. Ascertains Rhode Island Hospital�s need for interpreting services. Resolves complaints involving interpreting services.

Assists Department Manager and working with Brown University helps coordinates the Brown Interpreter Aid Program. This program involves coordinating volunteer interpreters from Brown University.

Coordinates new services and programs: Coordination involves working with vendors to provide phone installation video conferencing system upgrades maintenance and repairs for Language Line Services.

Assists the Department Manager in the development and preparation of grant proposals. Composes correspondence and meeting agenda�s. Responsible for producing manuscripts charts statistical tables and forms required for documentation and statistical purposes.

Coordinates the translation of written documents as requested by other hospital departments and services as well as for hospital signage projects.

Prioritizes and assigns work to subordinate clerical personnel reviews clerical work for accuracy grammar punctuation completeness and format. Provides functional guidance regarding to medical interpreter operations policies and procedures within the department.

Responsible for performance reviews of clerical staff and participates in the performance appraisals of interpreting staff.

Develops and recommends personnel action plans for clerical staff up to and including termination. Participates in the development of personnel action plans for interpreting staff. Interfaces with union representatives to resolve grievances and other union issues involving interpreting staff.

Prepares and maintains a variety of reports and documents requiring interpretation and data compilation (i.e. budget reports billing grant proposals time sheets etc). Prepares monthly budget variance reports. Monitors department expenditures against budget. Prepares statistical analyses for number of patients type of treatment or service provided.

Establishes maintains and revises records and filing systems. Proposes changes in work procedures to more effectively coordinate flow of work through the department.

Responsible for ordering office supplies according to knowledge of usage patterns and within established guidelines. Prepares and follows up on purchase orders. Performs the duties of subordinate staff as needed. Performs other duties as assigned.


Other information:

Requires completion of a Bachelor�s degree level of education or its equivalent proficiency in an administrative field.

Knowledge of medical terminology preferred.

Requires the interpersonal skills to deal effectively with patients their families hospital staff and to direct the activities of subordinate clerical and the interpreting staff.

Requires ability and judgement to establish priorities for concurrent demands for service.

Analytical ability is required to search records understand materials and prepare a variety of reports and documents. Written and oral skills are required to effectively communicate policies and procedures. The ability to exercise considerable independent judgment is required.

Organizational ability to prioritize and assign work and to develop and maintain records and filing systems is required. Proficient computer skills are necessary.

Bilingual is preferred.


Three years progressively more responsible administrative and supervisory experience is required.


Direct supervisory responsibility for up to 3 FTE and oversight of up to 25+ FTEs.
