GME Info Systems Manager

Under the general supervision of the Director Physician Affairs the GME Information Systems Manager is responsible for managing and ensuring accuracy of the database systems for the GME department to include the residency management system time and effort reporting for Medicare for housestaff on-line education and training as well as management of equipment.  This position serves as the liaison between GME and IT and is also responsible for developing and maintaining the department�s homepage (website) and other on-line resources.



Responsible for management of Graduate Medical Education (GME) information management systems and online resources including user training trouble shooting acting as liaison with hospital staff software vendors and Information Services.  More specifically functions include:

Maintains and oversees the Web-based residency management system for GME office and all GME programs.  Serves as primary contact with software company technical staff.  Manages and provides oversight to all Program Coordinators and GME office staff to maintain accurate information for current and incoming residents/fellows. 

With the GME Senior Financial Analyst serves as a GME office expert in all aspects of the software.  Trains program coordinators to utilize system effectively. 

Develops survey instruments and implements within Residency Management System to monitor compliance with ACGME requirements across programs and prepares reports for the GMEC and GME Director.  Creates and distributes internal reports to be reviewed by GME leadership.

Develops and manages the GME Intranet website.  Creates reviews and posts potential material relevant for website. 

Works with Lifespan IS and Marketing and Communications departments to enhance design and functionality of the GME Internet website. 

Manages online training for residents and fellows medical students and PA students.  Serves as the GME representative for the Lifespan-wide Online Learning Administrator Group. Develops and posts online training modules for housestaff as needed and tracks compliance.  Triages and responds to access and completion issues for learners.

Develops and maintains electronic archival system for graduates and coordinates with Information Systems staff to maintain the highest efficiency of the system.  Oversees scanning of files performs quality control checks of scanned information and maintains documentation of archived materials.

Manages computer access for all house staff medical students and PA students.  Serves as Departmental liaison with Lifespan�s IS department including the Service Desk on computer access and database issues.  Works directly with Lifespan�s IS department and/or outside consultants/vendors on issues and major changes related to these databases.

Manages orders and directs system upgrades with Lifespan�s IS Department as needed. Answers system related questions throughout the Department i.e. converting documents and downloading documents from the internet.  Coordinates special system software to be installed on department computers including restricted access to confidential material.  Collects and reviews computer specs to meet the needs of upgradeable software.

Develops and enhances electronic communication with training programs and housestaff.  Receives maintains and distributes electronic notices from the ACGME and other organizations to appropriate Program Directors and Coordinators as needed.

Utilizing expertise and experience troubleshoots procedural questions which involve the departmental databases and web-based databases used by the Department and GME programs.  Resolves computer problems throughout the Department.

Assigns work and oversees Department�s GME assistants to ensure accurate data entry for all departmental databases.

Performs as the institutional expert for several web-based databases utilized by the Department and GME programs.  Answers inquiries about the system.

Completes ongoing training as appropriate to maintain and update skills.  Meetings may involve some travel.


Other information:

Requires knowledge of computer applications and software management including a thorough knowledge of microcomputers peripheral equipment and networks as well as knowledge of PC hardware systems and relevant software such as Front Page Microsoft Word Microsoft Excel Access and Windows normally acquired through the completion of an undergraduate degree or equivalent experience.  Requires knowledge of medical education programs.


Three to four years progressively more responsible related experience with information systems.  Experience should demonstrate superior organizational and leadership skills the ability to work with medical professionals ability to deal with ambiguity maintain confidentiality standards creativity independent thinking and problem solving.
