Patient Service Rep

Provides reception function for all visitors and patients of the VRC. Performs the scheduling function of all VRC-Newport outpatients. Performs charge entry/billing and a variety of other clerical duties to support VRC staff.

Participates in departmental and/or interdepartmental quality improvement activities.
Performs reception duties:
 Answers and directs phone calls appropriately
 Greets and directs outpatients appropriately
 Communicates with physician office staff and other agencies appropriately
 Assists patient with transportation arrangements
Schedules/coordinates appointments between therapists and patients.
 Schedules new patients at earliest possible date.
 Schedules and re-schedules follow-up appointments
 Determines patient coverage plans in the event of planned or unplanned absence.
 Tracks and schedules outpatient staff meetings
Records information for new patient referrals on intake form.
Prepares new patient packets in advance of patient arrival (HIPPA history form welcome letter).
Initiates outpatient medical record including chart assembly and chart labels.
Types documents as requested by supervisory staff.
Discharges OP department medical records:
 Conducts review of medical records prior to discharge to Health Information Services
 Enters patient discharge information in to Access (# of visits discharge date discharge reason)
 Logs as a discharged chart
 Sends to Health Information Services
Receives medical record requests for charts:
 Stamps and dates request letter
 Determines chart location
 Prepares notification letter to the therapist and attaches the patient charges incurred since the start date of therapy
Performs charge entry/billing:
 Accurately enters charges
 Checks charges for accuracy
 Makes necessary corrections
Provides coverage and assistance for Physiatry Secretary as needed:
 Answers telephone
 Provides reception to department
 Maintains Medical Record
 Assists and re-directs physician office practice patients and phone calls
 Performs other secretarial functions as needed
Operates and maintains office equipment:
 Copy machine
- VRC computer
- Fax machine
- Tube system
- SMS printer/inpatient orders
- Telephone/intercom system
Records statistics and enters into VRC computer.
Orders and maintains office supplies for OP department.
Refers unresolved problems regarding patient care clinic operations and staff conflicts to supervisor and/or manager.

 Other information:
High School diploma (or equivalent).
Ability to utilize word processing and data base software.
Typing and computer data entry skills.
Must be able to sit for 3-7 hours stand walk and squat/kneel for 1-3hours per day. 
Twist and bend infrequently. 
Lifting is non-essential. 
Must be able to use both hands /wrists and perform work that deviates from neutral and be able to perform frequent fine motor skills. 
Near and far vision must be accurate at 20/40 must be able to discriminate among red green and white and have minimal depth perception. 
Must be able to hear a whisper at 8 feet.
