Practice Mgr

The Practice Manager reports to the Director Administrative Operations Women�s Health. The Practice Manager oversees the daily non-clinical operations of the area assigned. Manages the administrative financial and operational aspects of the division. Provides supervision to non-clinical staff. Develops and implements strategic plans for revenue goals collaborating with division management. Ensures that the clinicians are receiving sufficient support to achieve practice objectives. 


In collaboration with the director develops division goals establishes non-clinical procedures and prepares budget. Develops and maintains working knowledge of outpatient medical practice to maximize operational effectiveness. Participates in overall planning of department/division activities including the mission long and short term goals and objectives. Develops and monitors processes to ensure compliance with business and billing functions. Works collaboratively with PSO to maximize revenue. Implements new programs creates policy and procedure and makes recommendations for change to promote efficiency and effectiveness.

Manages the daily activities of the staff including development and implementation of office procedures and policies. Appropriately delegates to support staff and establishes deadlines for work assignments and monitors completion. Ensures that office is properly staffed and all functions are performed in a timely manner. Supervises clinical research in outpatient practice as needed.

Manages patient flow. Oversees access to care by providing guidance on triaging patient phone calls appointment scheduling and patient registration. Monitors patient access patient flow medical record systems and other operational issues. Recommends opportunities for increased efficiency.

Manages provider schedules. 

Manages financial information and billing detail for the division. Develops and monitors processes to ensure compliance of business and billing functions in the practice. Oversees charge posting payment processing functions including preparing daily batch and time of service collections. Maintains quality data for claims and billing and collects and enters data into financial spreadsheets. 

Reviews contracts invoices and financial statements to ensure accuracy and compliance. Provides accurate information on anticipated expenses and revenue; explains variances. Manages chargemaster as necessary. Provides data regarding provider activity and productivity and other statistical information as requested. Oversees daily billing and reimbursement functions to ensure that processing is timely. 

Remains current with Evaluation and Management (E&M) Guidelines compliance regulations charge posting procedures and other various system reports and statistical analysis. Investigates denials identifying corrective action; resubmits charges. Updates charge documents per Federal (HCFA) guidelines annually.

Monitors and reconciles consultation requests.

Develops and monitors processes for ensuring patient physician and group satisfaction. Ensures that requests for information from referring physician offices are resolved in an expeditious manner.

Conducts staff meetings on a regular basis.

Utilizes tracking tools to monitor patient satisfaction and success of improvement initiatives.

Effectively manages Human Resources. Recruits new staff members according to HR policy. Ensures staff members are properly oriented to practice responsibilities; communicates new and/or changed policies and procedures. Ensures adherence to same.

Assigns work schedules and provides for appropriate coverage in event of planned and unplanned absences. Conducts performance evaluations of staff including recommending corrective action to Human Resources department director and clinical management up to and including termination. Provides for continuing development of staff as appropriate. Prepares payroll.

Ensures the appropriateness and timeliness of all practice activities including but not limited to scheduling billing activities including accurate insurance documentation referrals verifications and authorizations. 

Preserves and protects patient and employee right to confidentiality

Provides for the maintenance and repair of the division�s equipment request service as appropriate and within level of authority. Maintains inventory of supplies and equipment; reorders as appropriate to meet anticipated needs. Investigates reasons for delays; informs others of causes.

Distributes inventories as appropriate; ensures proper storage of same. Reconciles materials received against order and invoice.

Ensures all activities meet or exceed customer expectations. Develops maintains and enhances relationships with others within and outside the practice including practice staff patients and families vendors and others within Lifespan and outside of Lifespan.

Advises department director and/or clinical director of actual or potential problems related to regulatory compliance. Implements approved programs to ensure compliance.

Performs other related duties as required.

Participates in or leads various teams related to quality improvement as necessary.


Other information:

Bachelor degree in management business administration or health care administration or the equivalent.


Five years related experience in the management or administration of a physician practice or hospital outpatient department. 

Demonstrated ability in decision-making financial operations and strategic growth initiatives. 

Excellent communication and interpersonal skills. 

Strong working knowledge of computer business applications required.


Supervision of support staff including hire/fire training and evaluating staff.
