Summary:
We have an exciting position for a Research Program Administrator in the Department of Neurosurgery at Rhode Island Hospital. Reporting to the Research Program Manager the Research Program Administrator will coordinate the departmental research activities for the Department of Neurosurgery. The incumbent will administer program and day-to-day research operations assist with the preparation of reports onboard research scholars submit reimbursements assist with purchasing and grant preparation and management. The Research Program Administrator will establish systems and procedures for smooth coordination of the research activities.
Responsibilities:
Coordinate research efforts in the recruitment of new faculty and staff. This may include advising new faculty on grant transfer procedures and relocation of equipment. Is responsible for coordination of facility management and will support the department in the establishment and construction of space. Will also assist with Research Operations and maintaining laboratory equipment inventory.
Provides administrative support services to the Manager Faculty and Director; Works closely with Supply Chain to ensure purchases for the research labs are ordered in a timely manner. Ensures reimbursements and invoices are paid on time by collaborating with Accounts Payable. Assists in the preparation and submission of assigned grant proposals using sponsor submission portals. Maintain funding opportunities database. Coordinates the submission of new and continuing grant proposals. Review award conditions to ensure compliance with award terms and conditions. Provide guidance regarding sponsored project issues budget management expenditure review financial reporting and participation in training. Monitors the research through internal audits and by working with the resources of the Lifespan Office of Research (LOR) to ensure adherence to protocols and procedures and alignment with other relevant programs. May assist with preparing the annual budget for the Research Program.
Develops and maintains accurate fiscal reports on status of research activities and distributes to research investigators on a regular basis. Assists in timely completion of institutional and funding agency reports. Forecasts and reviews financial status of grant monies with investigators as necessary. Ensures timely submission of information necessary to comply with Hospital State Federal and other Sponsor regulations.
Meets on a regular basis with members of the Lifespan Office of Research and Departmental Management as needed. Maintains and updates all profile information (including medical licensures lab accreditations and CVs) NIH Biosketches and Other Support.
Assists with research administrative activities such as Human Resources and payroll issues. Interacts with Research Administration and Human Resources regarding new positions job changes salary reviews and other related policies and procedures.
Monitors time sheets and employee change forms for hourly and salaried research-oriented personnel within the department. Assures that funds are available and notifies Research Manager and PI when adjustments become necessary. Coordinates with Research Manager on problem issues as appropriate.
Assists research investigators in budgeting and managing financial accounts effectively within the guidelines and policies established by the Hospital as well as Sponsoring Agencies. Resolves problems as required.
Prepares reports and documents as requested by the Chair of Neurosurgery or Administrative Director with whom meetings are held on regular basis. As appropriate may provide general administrative support for the research investigators. Other related duties as necessary.

BASIC KNOWLEDGE:
Masters Degree in Public Business or Hospital Administration or Biomedical Sciences is preferred. Bachelors Degree is required.
EXPERIENCE:
The incumbent will have at least 2-6 years experience in the required field with three or more progressively more years of responsible experience depending on the size and complexity of the program(s). Experience should demonstrate leadership and training skills knowledge of research regulations and the ability to work with collaborative groups. Excellent verbal and written skills are essential. The ability to interact with persons from diverse backgrounds such as MDs PhDs research and administrative staff. Thorough knowledge of computers peripheral equipment and networks. Thorough knowledge of software such as Microsoft Word Excel PowerPoint Access and Windows. Ability to learn specific research access program. Strong-self-starter and great interpersonal skills are necessary. Team-oriented with excellent oral and written communication skills. Strong problem-solving skills.
WORK ENVIRONMENT ANDPHYSICAL REQUIREMENTS:
This is an on-site position. While duties are performed in an office environment incumbent is exposed to the patient care environment.
INDEPENDENT ACTION:
Performs independently within the departments policies and practices. Refers specific complex problems to the supervisor(s) when clarification of the departmental policies and procedures are required. This position requires a quick-thinker who can make basic and sometimes complex decisions pertaining to the management of grants and contracts.
SUPERVISORY RESPONSIBILITY:
Supervisory responsibilities for up to 20 FTEs.
