Summary:
Under the direct supervision of the physician coordinates the effective and efficient patient flow. Schedules appointments ensures medical records are available and complete receives patients explains procedures. Prepares patients for examinations procedures and other related medical matters according to established department protocols. Under direct supervision assists physician in variety of patient care duties which depending upon practice assignment includes collecting and testing specimens taking and recording vital signs performing vision and audio screenings performing EKGs and other similar tests. Updates computerized and manual records as appropriate.

 

Responsibilities:
Coordinates orderly efficient and effective patient flow through a designated physician practice to provide a positive experience for patients and families.



Reviews patient appointment schedules to anticipate needs for records materials supplies and equipment. Ensures medical records are available prior to patient arrival. Reviews records to ensure completeness. Follows up directly or through others to obtain missing documents incomplete test results and the like in order that the patient record is complete and documentation clear for provider review. Advises provider of all changes to patient schedules including cancellations.



Prepares and sets up examination/procedure rooms prior to patient arrival with necessary equipment instruments and supplies. Ensures cleanliness and aseptic condition of room and equipment.



Receives and greets patients and/or families may explain procedures to be performed to allay fears and apprehension as appropriate. Escorts patient to examination area. Assists patient to prepare for examination such as changing into examination gown. Ensures provider is notified of patient placed in examination room to minimize patient wait time.



Under supervision of physician assists with physical examinations and various clinic tests. As directed and in accordance with specific practice assignment and patient population may perform the following activities:



Takes and records vital signs collects samples such as blood (through heel or fingerstick methods) stool etc. Labels appropriately and prepares for various lab tests in prescribed manner. Assists physician with variety of patient care activities within level of training and in accordance with specific instructions. These may include assisting with nebulizer treatments gyn examinations peak flow and pulse oximetry measurements rapid strep tests Doppler blood pressure screening and the like. Performs routine specimen testing as directed. Depending on practice assignment may assist with cardiac monitoring: sets up and operates EKG equipment placing or changing electrodes assessing clarity of pattern and verifying operating integrity of equipment; recognizes normal sinus rhythm; reports abnormal results to physician; takes and records patterns and forwards test results to physician for interpretation.



Takes and records patient information; reports all pertinent observations outside normal parameters and outcomes of health screenings (i.e. deviations in bloodwork fingerstick eye screenings etc.) to the physician. Records selected treatments and procedures as appropriate and within level of responsibility as part of the medical record. Ensures medical record is maintained appropriately including timely filling of correspondence medical transcription test results and other medical information related to patient care activities. Ensures records are filed appropriately.



Ensures examination room is cleaned in timely manner after patient visit and set up appropriately for next appointment. Prepares instruments as appropriate for cleaning and sterilization.



Coordinates and manages follow-up appointment schedules including referrals to specialists scheduling tests and other procedures with other providers as directed by physician. Resolves scheduling conflicts as appropriate and within level of authority. Completes referral forms when appropriate; assists patient with making appointments if needed and at physician's request. Completes lab and x-ray forms.



Ensures computerized and manual records are updated as appropriate at the conclusion of patient visits. Ensures that information necessary to generate charges for the visit is entered into the appropriate systems. Ensures that billable procedures/visits performed outside of the practice office are entered into the appropriate billing records.



Monitors inventory levels to ensure availability of necessary supplies equipment and instruments are on hand to meet anticipated needs; reorders as necessary and within level of authority; notifies others as appropriate of other items requiring reordering that are outside authority to purchase. Ensures timely receipt of materials ordered follows up as necessary to determine reason for delays. Ensures materials are stored appropriately upon receipt.



Performs other related varied clerical/receptionist duties such as answering telephones to take and relay messages schedule patient appointments complete records transcribe provider notes prepare memorandums and correspondence and the like to ensure effective and efficient practice operations.



Recommends changes in procedures to physician as appropriate to maximize efficiency of clinic relative to patient scheduling clerical procedures etc.



Performs other related duties appropriate to training and experience as assigned by practice manager.

 

Other information:
BASIC KNOWLEDGE:

Completion of accredited program in medical office practices and patient care instruction such as obtained through completion of a training program for Medical Assistant.



Program must include coursework in diverse patient care activities medical office procedures personal computer operation (including word-processing and database management software); or the equivalent related experience.



EXPERIENCE:

At least one year prior related experience in effectively coordinating and managing patient flow through a clinic or physician office is required.



Experience should demonstrate effective interpersonal skills organization and analytical skills to effectively plan for patient appointments and ability to perform or assist in a variety of patient care activities.



Demonstrated knowledge and skills necessary to provide care to patients throughout the life span with consideration of aging processes human development stages and cultural patterns in each step of the care process.



Dependent upon practice assignment patients may be specifically limited to pediatrics or adult/geriatric patients.



WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Typical medical office environment requiring long periods of sitting standing walking.



Exposure to body fluids/excretions.
