Surgical Charge Entry Speclst

Receives Operating Room Endoscopy Department and PACU Procedure bookings from physicians and physicians� representatives for the purpose of compiling the surgical schedule and initiating the Hospital admission record. Responsible for ensuring accuracy of all Anesthesia Surgery Endoscopy and PACU charges associated with surgical/procedural patients in a timely manner. Gathers and interprets information from variety of sources identifies and reconciles errors and enters information into system databases. Collaborates with Finance and coding staff and submits any corrections in a timely manner. Performs materials management ordering secretarial and reception duties as needed.


Maintains current knowledge of surgical and endoscopic procedures specialties and procedure times.

Receives Surgical Services Operating Room Endoscopy and PACU bookings and cancellations from the physician and his/her representative. Adjusts the surgical schedule accordingly.

Schedules procedures and testing dates utilizing methods which maximize operating room utilization maintain an even daily patient distribution and adhere to departmental policies and procedures.

Consults with surgeons and Director of Surgical Services or his/her designee regarding changes in the surgical schedule. Prints and distributes the Operating Room schedule.

Consults with the PAT RN regarding the operative and/or procedural schedules as necessary.

Communicates with Diagnostic Imaging to schedule x-ray equipment for necessary cases.

Enters pertinent data in the Operating Room Scheduling System.

Performs as a super trainer for the computerized scheduling system.

Reviews final surgery schedule to verify completeness and accuracy of information necessary to document and initiate charges for surgical services and supplies. Ensures that all forms needed to enter charges have been submitted i.e. anesthesia implant/supplies PACU times miscellaneous charges. Obtains missing forms if necessary.

Ensures add on cases are linked to the appropriate patient account. Researches any missing charge slips and ensures accurate charging.

Enters electronically all journal data for Operating Room records and implant records for systems management. Ensures that charges are entered accurately for the correct patient surgery or procedure and submitted in a timely manner.

Prepares a variety of daily reports related to accurate charge capture as well as validation and auditing. Reviews reports and makes necessary corrections before submitting charges. Reviews previous day�s audit reports to ensure that all information was entered correctly.

Identifies data problems including: incomplete record inconsistent room times incorrect data (i.e. room surgery date time misspelled patient names supply charge omissions etc.). Reports record problems to Director and/or designee and follows up for corrections.

Assists with schedules booking meetings and appointments for the department director and other staff as appropriate.

Answers telephone screens calls takes messages and re-directs calls in a professional and timely manner.

Provides secretarial support to departmental interdepartmental and other meetings are directed:

- Prepares and distributes agenda

- Records and distributes minutes to meetings

- Maintains confidentiality of discussions at all meetings

Types (word-processes) proof-reads and distributes documents using proper formats grammar spelling and punctuation including but not limited to:

- Reports (including charts and graphs)

- Meeting minutes

- Policies and Procedures

- Forms

Maintains informational databases and other departmental records.

Performs on-line order entry as requested.

Performs other related duties as required including but not limited to coverage for other departmental duties e.g. secretarial and reception duties.

Communicates effectively with clinical staff and staff from other departments.


Other information:

High School Diploma (or GED).

One to three years related experience in a healthcare setting.

Knowledge of Medical Terminology and Surgical Procedures.

Proficient in computer applications including Microsoft Office programs.

Detail oriented with effective communication organizational and critical thinking skills.

Physical Requirements:

Must be able to sit for 3-7 hours twist and bend infrequently standing walking squatting kneeling are not essential functions.

Must be able to lift 10-35 lbs with good body mechanics with minimal workload.

May be left or right handed but able to pinch deviate wrist frequently and have fine motor skills.

Near vision must be accurate at 20/20 and far vision accurate at 20/40 must be able to discriminate among red green and white and have moderate depth perception.
